Control Panel

The Control Panel is a central panel from which multiple functions can be accessed from outside the standard Excel interface. These same functions may also be accessed from the Spreadsheet Server Ribbon within Excel.

For example:

  • GL reporting users can view account balances for a selected account string, and subsequently drill down to the journals and journal entry lines which make up the balance.
  • Query users can view the results of a GEXQ formula, and also drill down to supporting detail.

Access the Control Panel

  1. From the desktop, navigate to Start > All Programs > Spreadsheet Server Suite> Spreadsheet Server Control Panel. The sign in dialog box appears, based on the selected ledger.

  3. Type your sign in credentials and click OK. The Spreadsheet Server Control Panel appears.
  4. Some fields in the GL Balances tab vary based on the selected ledger; basic processing is the same for all ledgers, however. Use the following table as an overview for entering data, or to access other functions. Links are available at the bottom of the table to access ledger-specific GXL information.
  5. Field Description

    Key 1

    Header and footer values based on the requirements of the selected ledger (for example, OracleKey 1 = Balance Type).

    Key 2

    Header and footer values based on the requirements of the selected ledger (for example, OracleKey 2 = Budget/En Type).

    Year

    The reporting year.

    Format

    Displays PER, indicating the time range for which to retrieve data.

    Period

    Click the drop-down list, and select the corresponding period, quarter number, or range of periods (for example, 1.5 for periods 1 through 5) in the specified format.

    Key 3 Data

    Header and field values based on the requirements of the selected ledger (for example, OracleKey 3 Data = Translated, Currency, Ledger (Book), and Summary Account.

    Designer GL

    Click the drop-down list, and select a Designer GL Definition from which to retrieve data. After selecting a value, the system changes the parameters in the panel to match the selected definition.

    Account String

    Type the value of each segment in the account string for the GXL formula, or click the ellipses ( ... ) button to select from a list of valid segment values. Segments vary based on the selected ledger. Values may be single value, mask, range, value list, segment list, hierarchy value, or @ field (see Account Segment Syntax for more information).

    GL Balances 0 - 15

    Displays the calculated period balances for the selected account string.

    Function Description

    Generate - GXL

    Calculates the period balances of the selected account string, and subsequently allows for drilling down to the supporting journals.

    Segment Lists

    Opens the Segment List Maintenance panel, allowing users to create and/or maintain segment lists (see Create or Maintain Segment Lists for more information).

    Accounts Profile

    Opens the Accounts Profile panel, allowing users to view and/or maintain the list of account strings to which they have access (see Account Security for more information).

    Settings

    Opens the Spreadsheet Server Settings panel, allowing users to define various criteria to control processing (see Spreadsheet Server Settings for more information).

    Accesses the online user manual.

    Use the following links to access ledger-specific GXL information:

  6. To display balances for the account string, from the Spreadsheet Server Ribbon, click Generate. Balances are displayed in the Period 0 to 15 fields.
  7. To view account balances, click the corresponding Drill button (). The Drill Down panel appears (see Drill Down to Detailed Account Balances for more information).
  8. Use the following table to enter data in the Control Panel > Query tab, or to access other functions:

    Query Name

    • If the query resides in the file system, click the Open From File button (OpenFileButton) and navigate to and select the query to be executed.
    • If the query resides in Query Exchange, click the Search Online button (OnlineAccessbutton) and navigate to and select the query to be executed (see Download Queries from Query Exchange for more information).

    Total Field

    If the GEXQ summary field is to be defined within the formula, click the drop-down list, and select the field to be summarized.

    Note: Only fields assigned an alias appear in the drop-down list.

    Total Type

    If the GEXQ summary field is to be defined within the formula, click the drop-down list, and select the summary type (for example, SUM, COUNT, MIN, or MAX).

    Parameters

    The parameter-related fields only appear if parameters have been specified in the selected query definition.

    Display/Use

    If selected, the query parameter is included in the formula.

    Value

    Specify the value (for example, single value, a wildcard, list, range, or segment list) to be used when generating the query results.

    Results

    Displays the calculated value for the selected query.

    Function Description

    Generate - GEXQ

    Calculates a single value from the GEXQ (summary) portion of the query in the Results field, and subsequently allows for drilling down to the supporting detail (see GEXQ Formulas for more information).

    Segment Lists

    Opens the Segment List Maintenance panel, allowing users to create and/or maintain segment lists (see Create or Maintain Segment Lists for more information).

    Settings

    Opens the Spreadsheet Server Settings panel, allowing users to define various criteria to control processing (see Spreadsheet Server Settings for more information).

    Help ()

    Accesses the online user manual.

  10. To display the result of the specified query, from the Spreadsheet Server ribbon, click Generate. The calculated value displays in the Results field.
  11. To view supporting details, click the corresponding Drill button (). The Drill Down panel appears (see GEXQ Formulas for more information).
  12. Type the Storage Location URL to read or write Designer General Ledger Profiles.
  13. Type your credentials when prompted, and click OK.
